Terms & Condition

For all trips operated through Dare to Dream Adventures Pvt Ltd. a booking contract shall be sent. This contract shall contain our full terms and conditions as laid out in the following document. The contract shall contain full details and dates of the trip booked including any add ons or special requirements as per your booking, a copy of your payment schedule and statement of any money paid. We will require confirmation in writing that all details are correct and that all customers for the booking agree to the terms and conditions.

Upon booking we will also require mandatory booking forms to be filled in which shall contain all personal information to allow Dare to Dream Adventures to organise your trip. All personal information obtained will be kept strictly confidential and not shared to third parties with the exception of using the information to book flights, apply for permits and any other essential bookings for your trip.

1. Payments

To secure your booking a non-refundable deposit of 30% of the total trip price per person is required.

The remaining 70% of the trip should be paid 30 days before the trip date. This is to allow all necessary bookings to be made and paid for.

We reserve the right to cancel your trip should the full amount not be paid by the due date.

For bookings made within 30 days of departure the full amount must be paid upfront.

Payments can be made via bank transfer or credit card. Please note all bank charges must be met by the customer.

For Credit Card payment we only accept Visa or MasterCard and a 4% levy will be added on to the total due to a bank card processing fee.

All payment details will be provided on the invoice attached to your booking.

2. Cancellation Policy and Booking Alterations

No refunds will be available if a client leaves a trip for any reason after the commencement of a trip. No refunds are available for any meals accommodation or services not used.

Should any changes be required to the trip highlighted in your booking contract then all requests must be placed in writing. We assure that every effort will be made to meet the changes however the service is not guaranteed. Any additional expenses will be payable by the client.

If you are unable to travel on your original travel date no refunds are available. We will work with clients to allow a change of date where possible however any additional expenses encountered will be payable by the client.

3. Cancellations & Refunds

All trip cancellations must be placed in writing to one of the following email addresses: [email protected] or [email protected]

Cancellations and refunds will be dealt with as per the following scale:

  • Before 30 days to commencement of trip – loss of non-refundable deposit
  • From 30 days to 15 days – 50% of the Total trekking cost
  • Within 15 days – No refund available

After commencement of the trip no refunds or transfer of date are available.

Please note: for options 1 – 3 we will try where possible to allow a transfer of dates however out of pocket expenses will be chargeable to the client for example costs already paid out for flights hotels etc.

Where a discounted price has been applied to a group booking in the event of cancellation by one or more in the group the group is liable for any additional costs incurred including any out of pocket expenses.

4. Flight Cancellation Policy

Flight bookings are completely non refundable or transferable.

5. Insurance

It is expected that ALL clients have insurance that covers an appropriate level of altitude for their chosen trip and includes emergency evacuation. Copies of the insurance for each person of the group must be sent to Dare to Dream Adventures before the commencement of the trip.

6. Emergency Evacuation

Any emergency evacuation will be payable by either the client or their insurance directly to the helicopter company. Guides will help to arrange evacuation in the event it is required.

All associated medical expenses are also payable by the client or their insurance.

Every effort will be made by Dare to Dream Adventure Guides to discuss any health condition with a client and look for the best solution but Dare to Dream Adventure guides reserve the right to make the final decision if a client is well enough to continue on.

Safety of the ill / injured client and the rest of the group will always be at the forefront of any decision made.

In the event a client refuses to follow the recommendation or decision of the guide forfeit all professional protection and care of duty of the guide.

7. Dietary Requirements

Any special dietary requirements must be declared at the time of booking so arrangements can be made before the trip. The company will not be responsible for not being able to deliver special dietary needs at short notice.

8. Passports & Visas

It is the responsibility of all Trip Members/ passengers regardless of nationality and destination to check with the consulate/embassy of the country from which they are visiting for current entry requirements.

Passports should be valid at least 6 months after the traveller’s intended return date from Nepal.

For many countries visas can be obtained at your country’s Nepal Embassy. There is also the option to obtain a visa on arrival at Tribhuvan International Airport in Kathmandu by either filling in a visa on arrival form in advance or at one of the electronic kiosks in the airport.

Visa costs are approximately as follows…

  • 15 day visa = $30
  • 30 day visa = $50
  • 90 day visa = $125

Visa extensions can be applied for.

9. Health and Experience Requirements

We ask all clients to fill in full health details on their booking form. This is for the safety of all our customers.

We will also ask clients to tell us more about their experience. This is more important in the technical climbs as some trips require minimum entry requirements to take part. Again this is purely for safety.

Dare to Dream Adventures reserve the right to not take clients on their chosen trip if they don’t feel they are well enough fit enough or don’t have the experience to do so safely.

10. Additional Expenses

All effort will be made by Dare To Dream Adventures to maintain the contract. However there is always the possibility of certain items like airfares fuel costs entrance fees / permit fees increasing in cost without prior notice from the government authorities in Nepal.

In the rare but unfortunate situation this arises then the difference in costs would be payable by the clients.

Dare to Dream Adventures only acts only in the capacity of agent for the hotels airlines transporters and contractors providing other services. All exchange orders; receipts contracts and tickets issued by us are subject to terms and conditions under which these services are provided by actual suppliers.

We shall not be held responsible for any delays and alterations in the trek or expenses incurred directly or indirectly-due to natural hazards flight cancellation accident breakdown of transport weather sickness landslides closures or blockades due to political unrest or any such incidents.

We shall not be responsible for any loss injury or damage to person property or otherwise in connection with any accommodation transportation or other services resulting directly or indirectly from any act of nature dangers fire accident breakdown of transport strikes thefts epidemics or any other causes beyond our control.

We do not have any insurance policy covering the expenses for accident sickness and loss of your personal belongings due to theft or any other reasons. Visitors are required to seek such insurance policy in their home country. We ask all clients to provide copies of insurance before commencement of the trek. All baggage and personal property at all times is brought at the client’s own risk. All transport used by Dare to Dream Adventures are insured according to our Transportation Department of the Nepal Government.

11. Validity

This information is valid at the time of publication but is subject to change without prior notice however should any changes occur it will be posted on the website immediately. Should the terms & conditions change after the deposit is paid the terms & conditions under which the deposit was paid shall apply.

12. Unused Services

No refunds or exchanges can be made with respect to accommodation meals sightseeing tours transport or any other services included in the Trekking/Expedition/ tour price if not utilized by the trip members.

13. Child Discount

One child under four years old is generally considered a reduction of 50% of the Trekking/ tour cost provided that s/he is accompanied by at least two full paying adults and stays in the same room. An extra bed is provided free of charge.

14. Currency Fluctuation

All prices of the tours are based on US dollar (USD) foreign exchange rates at the time of publication. Prices may change in the event of increased land or air costs that are beyond the company’s control. The company reserves the right to alter the price of any tour due to currency fluctuation. Any price increase will normally be notified 60 days prior to departure.
